Personnel Assistant- Naval Air Station Patuxent River
EMI Services is looking for a Personnel Assistant who is primarily responsible for secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements), but will also provide administrative support to Human Resources staff with office management responsibilities to include personnel records and payroll support.
The Personnel Assistant may be required to work independently on projects requiring research and preparation.
The Personnel Assistant will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, ordering/maintaining office supplies, organizing and maintaining paper and electronic files, and providing information to visitors and/or callers.
*This is a 3 month temporary position with the possibility to extend.
Salary $20.

(DOE) Key Responsibilities Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals Arrange conferences, meetings, and travel reservations for office personnel Complete forms in accordance with company procedures Compose, type, and distribute meeting notes, routine correspondence, and reports Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs Locate and attach appropriate files to incoming correspondence requiring replies Mail newsletters, promotional material, and other information.
Maintain scheduling and event calendars Make copies of correspondence and other printed material Distribute incoming mail and other material, and prepare answers to routine letters Schedule and confirm appointments for supervisors Set up and maintain paper and electronic filing systems for records, correspondence, and other material to ensure accurate maintenance of files and ease of retrieval Researches purchase options and/or payment information in order to purchase necessary supplies and equipment, complete forms, reconcile errors and ensure accuracy of document information Conduct searches to find needed information, using such sources as the Internet Track employee time off request slips Order and dispense supplies Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
Perform other related duties as assigned Essential Skills Effective oral and written communication skills English, spelling, grammar and punctuation required to produce and proofread simple written documents Effective technical, interpersonal, organizational and telephone etiquette skills Considerable knowledge of office practices, procedures, equipment, and standard clerical techniques Basic knowledge and understanding of the terminology, codes, and processes used in clerical work Present professional appearance and demeanor Type; operate a personal computer, with emphasis on accuracy, mental alertness, and neatness Understand and adhere to policies and procedures as set by EMI Services.
Promote and maintain a positive image of EMI Services to our customers, vendors, employees, and the community Maintain confidentiality of information related to EMI Services, our customers, vendors and employees Polite, professional, and courteous to others.
Demonstrate a cooperative and positive attitude Inform the Project Manager of all pertinent problems, irregularities, and other important information within area of responsibility Adaptable and flexible in work situations Establish priorities to ensure completion of tasks in a timely manner Requirements High school diploma or equivalent 3+ years experience in a related administrative position Must be computer literate with knowledge of MSWord, Excel and other Microsoft Office programs Regular, dependable attendance Valid driver’s license Pass a pre-employment drug screening and background check U.
